Winter Luncheon Chair

The Winter Branch meeting is a daytime luncheon held on a Saturday morning at a local restaurant. The luncheon event has been held at Alioto’s Restaurant on Mayfair Road the last three years.

  • The Lunch Coordinator will work with the following branch leaders:
    • Program Coordinator, to ensure the luncheon speaker and topic are engaging. Program coordinator works with speaker and Digital Communications person so AV equipment is in place.
    • Webpage Coordinator, to set up online payment. (This is optional, but it works well and eliminates check payments.)  Checks are accepted and can be mailed to the lunch coordinator.
    • Treasurer, to monitor payments via check or online using the WSM webpage. The finance officer also pays the vendor a few days before the event.
    • Membership VP, to provide accurate data on member attendance. After the event, give the names of attendees so they can be manually entered into the branch database.
    • Share Coordinator, Ask if a tall tabletop is needed for the event day.
    • The Coordinator of this event is responsible for the following:
      • Scheduling the location, menu, date, and time.
      • Coordinating a committee of four for the day of the event: Two members will work the registration table. Two branch members serve as greeters and coordinate the movement of guests into the facility, and approach the buffet table.
      • Advertise the luncheon in the Post Graduate and through the Evite program.
      • Keep track of attendees and payment methods.
      • Create name tags for the event day.
      • Create 8.5 x 11-inch signs numbered 1 through 10 (depending on the number of tables required for that day). The signs are placed on the tables. This ensures a smooth process for the buffet table luncheon.
      • A few days before the event: pay the vendor and Write a post-event article for the Postgraduate.
      • Make arrangements for the upcoming year’s meeting. The treasurer will accompany the program coordinator on the future planning process.
